At Theatre Calgary, the show starts long before the curtain rises. Located in Alberta, Canada, the theatre puts on six productions and welcomes more than 100,000 attendees each year, with a mission to stand as southern Alberta's foremost professional nonprofit theatre.
None of that happens without a front-of-house team, and Theatre Calgary's is powered entirely by volunteers: 433 of them, each committing to at least one shift during a production run. Coordinating that many people across multiple shows, roles, and reporting times takes more than good intentions. It takes a system that keeps everyone aligned without adding strain to a small staff.
When volunteer coordination landed on Front of House Manager Lee Booth's plate, it meant juggling emails and manually updating schedules by hand. Volunteers needed to know which show they were supporting, what their role included, and when to report, and those same questions surfaced again and again, show after show.
There was no dedicated coordinator role to absorb the workload. Booth needed a way to manage hundreds of volunteers alongside everything else on the front-of-house job description.
