How to Create a Carpool Sign Up Sheet

A carpool sign up sheet is an online schedule where drivers and riders claim their own days, so nobody has to keep track of whose turn it is on a shared spreadsheet or in a group text. Add your dates, set how many riders each driver can take, and share one link. From there, the schedule updates itself instead of living in your head.

Before You Build Your Carpool Sign Up

A few decisions up front make the sign up itself faster to build:

• How many drivers you need for the schedule
• How many riders need a seat each trip
• How many passengers each driver can realistically take
• Whether a driver role covers the ride there, the ride back, or both

Once you've got those answers, you're ready to build the sign up.

Building the Sign Up Sheet

Design

• From your Dashboard > Create a Sign Up
• Give it a Title your group will recognize, like "Soccer Carpool, School Drop Off."
• Add you Group - this is your email contact list
• Select a Type (General works here)
• Select your Category (Personal should do the trick)
• Choose a Theme

Slots

• Format: Choose Sort by Date - this allows you put several dates in at one time.
• Select + Add Dates and choose the dates for your carpool.
  • If the dates and times will remain consistent, you can also select the Add Recurring Days option to automatically create additional dates.
• Then, select + Add Slots and enter titles for the different types of carpool roles.
  • For example, you may need a slot for riders and you may need an additional slot for drivers. Choose the Number Wanted as the maximum number of people who can sign up for the slot. If you cannot accommodate more than 4 riders, then select a Number Wanted of 4.
• When you get to the Settings tab, there are various options for customizing the sign up. You can send reminder emails to participants or require certain contact information on the sign up via Custom Questions.

Tips for Managing Your Sign Up

• If your sign up has a long list of dates and slots, you may want to hide dates to make the sign up more manageable and current.
  • In the Settings tab, you can automatically hide past and/or future dates on the sign up.
• Lock slots to prevent last-minute sign ups or deletions with our locking feature. This way, sign up participants must contact the sign up creator instead of simply removing themselves from the sign up without providing any notification.

Everyone gets the same link, whether they're driving or riding. Send it once by email to launch the schedule, then post it wherever your group already checks in, like a team chat or a class group text.

• Sync it to a personal calendar so drivers don't have to check back manually
• Update the sign up right away if a driver drops out, rather than waiting until the next group message
